    I TELENET Engineering Solution Ltd (I TELENET) is a United Kingdom based company offering a SaaS-based platform to help you comply with UK Government sponsorship compliance requirements by assisting clients to manage sponsorship-related documentation. UCP platform (UCP) enables clients to be productive with the help of an intuitive interface. Also, it assists in managing announced or unannounced visits from the Home Office personnel effectively and efficiently.

    UCP assists in collecting all necessary data required to help you to meet UK Government Home Office sponsorship compliance requirements of reporting duties, record-keeping duties, and complying with immigration laws.

    UCP assists in reporting changes in worker's circumstances, absence without permission, work location, and when you stop sponsoring worker. UCP also helps you with reporting information about sponsoring an offshore worker.

    Personal information refers to all data uploaded to the UCP website relating to your staff.

1.2. Objective

    The objective of the privacy policy for the I TELENET is to establish transparency, trust, and compliance with data protection laws. It aims to safeguard personal information and communicate data handling procedures, and the policy also promotes accountability and ensures that, where required, third-party providers uphold the same privacy standards.

    The purpose of the privacy policy for I TELENET is to provide clear and transparent guidelines on how personal information is collected, used, stored, and protected. It aims to ensure compliance with privacy laws, build trust, and safeguard individuals' privacy and data security.

1.4. Scope

    The scope of the privacy policy is for I TELENET and UCP including all types of personal information collected.

1.5. Collection of Information

    UCP shall assist its client in uploading all necessary data/information to meet UKVI sponsorship requirements. Necessary data information includes the client's sponsored staff:

      • Name;
      • Company Name;
      • Business Sector;
      • Business or residential address;
      • Details regarding gender and marital status;
      • Email address and contact numbers;
      • No of Employees;
      • Sponsor License Number;
      • Employee passport details;
      • Remuneration details;
      • Superannuation details;
      • Tax information
      • Profession, occupation or job title,
      • Job qualifications and history,
      • Terms and conditions of employment, including employee benefits; and
      • Information relating to employment (i.e. absentee records, development records, annual and personal/carer's leave entitlement, disciplinary and grievance matters).
1.6. Client's staff Information

    In compliance with UKVI regulations, I TELENET privacy policy outlines that they may collect personal information about Employees who are clients of I TELENET. This information may include sensitive data concerning health or ethnic origin.

    The collection and storage of Employees' information will occur at the request and with the Client's consent, who may utilise it for staff administration, management, equal opportunities monitoring, and other employment-related purposes.

    I TELENET will not disclose any Client's staff personal information to third parties except when required, authorised, or permitted by law for disclosure to government bodies, regulators, law enforcement agencies, or other parties.

    The staff of clients of I TELENET shall have the right to request their personal information, seek amendments, and file complaints through their sponsors by the provisions of this Privacy Policy.

1.7. Collection of Non-Personal Information via this Website

    I TELENET also collects information that does not, on its own, identify an individual (non-personal information). When you visit the UCP website, a record of your visit is made with the following information:

      • your top-level domain name;
      • the date and time of your visit;
      • the web pages you accessed;
      • the documents you downloaded;
      • the type of browser you are using;
      • your server address; and
      • IP address,

    On a general and aggregate basis, to analyse the site's performance. This aggregated, non-personal information is collated to determine the number of authorised client users who visit UKVI websites and the most frequently visited sections of the website.

    If you use any forms on its website to send an email to someone within I TELENET, a record will also be made of your email address.

    When I TELENET combines non-personal information with personal information, I TELENET treats the combined information as personal information.

    I TELENET websites may contain links to other sites. I TELENET is not responsible for those sites' privacy practices or policies.

1.10. Website analytics

    I TELENET uses google analytics to understand its client's requirements better and improve the client experience when using the website.

1.11. Collection of information in the ordinary course of business

    UCP platform, over and above the information collected to meet UK VI sponsorship requirements, may collect personal information about you, through your sponsor, in the ordinary course of its business, including your name, address, contact details and occupation. This information may be collected through meetings, face-to-face interviews, business cards, seminars, telephone calls and from third parties by the Privacy Act.

1.12. Sensitive Information

    UCP shall collect employees' sensitive information, as required to be shared with the UK Government Home Office during their visits or requests. (e.g., information about your membership of a professional body, race, religion, ethnicity, political opinion, or individual health information) with your consent and if the collection is reasonably necessary for one or more of its functions or activities.

1.13. Use of Personal Information

    UCP may use the personal information it collects about you for several purposes, including to:

      • compile statistical data and maintain its database;
      • develop/improve its website
      • respond to any email inquiries;
      • provide you with publications;
      • manage quality control;
      • manage systems administration;
      • comply with compliance policies;

    I TELENET will not use or disclose your personal information for any purpose which is not related (or in the case of sensitive information is directly related) to the above purposes without your consent, or unless otherwise authorised, required or permitted under law or regulation.

1.14. Disclosure of Personal Information

    I TELENET may disclose your personal information in the following ways:

      • To members of I TELENET for delivery of services, smooth performance of the services agreement and additional services.
      • To any person (where necessary) in connection with its services, such as to regulatory authorities, partners or advisors; or

    Examples of services provided by external service providers include archiving services, research organisations and consultants who research on behalf of I TELENET so it can better meet the needs of clients and staff.

    If I TELENET engages external service providers, it will take reasonable steps to ensure those entities comply with their obligations under the APPs and payment processor system when they handle your personal information. I TELENET will also ensure external service providers are only authorised to use personal information for the limited purposes specified in its agreement.

    I TELENET will also take reasonable steps to ensure that any overseas related entities or service providers comply with the applicable sections of the APPs and payment processor system about how your personal information is held, managed, and accessed.

1.15. Access and amendment requests

    If you wish to obtain access to any personal information that I TELENET has collected about you, please request in writing to your sponsor I TELENET Business Officer info@ukvicompliance.com Identification will be requested for security purposes.

    I TELENET will take reasonable steps to ensure that any personal information it collects, uses, or discloses is accurate, complete and current. If you believe that any information held by I TELENET is inaccurate, incomplete, out of date, irrelevant or misleading, please contact I TELENET 's Business Risk Officer at info@ukvicompliance.com

    Requests for access and/or amendments will be responded to within a reasonable period of time by the APPs. I TELENET will notify the Client if I TELENET receives a request from an Employee. I TELENET may refuse a request for access or amendment to personal information in the circumstances outlined in the APPs. If access is denied, I TELENET will provide you with a written reason for the refusal.

1.16. Delegated clients

    In alignment with UCP, the privacy policy clarifies that delegated clients, although not parties to the Terms or services agreement are granted access to the client's UKVI platform with the client's consent.

    The client's consent is a prerequisite for the lawful and legitimate use of the software and the smooth facilitation of the services.

1.17. Storage and security of Personal Information

    I TELENET takes all reasonable steps to ensure that personal information is kept secure and protected against unauthorised access, modification or disclosure and from misuse, interference and loss.

    Any information I TELENET holds is stored on secure servers protected in controlled facilities. Only authorised employees of I TELENET and/or contractors who provide services related to its information systems will have access to the secure servers.

    Although I TELENET have put in place certain checks and measures in relation to system security, I TELENET cannot guarantee that data transmitted over the internet will be 100% secure. I TELENET will not be responsible for the security of information you send to or receive from I TELENET over the Internet.

    In the event of a data breach, I TELENET is committed to complying with the requirements of all the Privacy Laws and, where required, the provisions of the General Data Protection Regulation.

1.18. Data Retention

    I TELENET retains the information you provide to it and information which it collects about you, including personal information, for as long as I TELENET continues to provide services to you and specifically until such time as you request I TELENET to delete your personal information. I TELENET will retain all information about services provided to clients for at least seven years after the date a client ceases to use them.
